Administrative Assistant - Invoicing and payment Support

(1 Year Contract Position)

As a Administrative Assistant, your main responsibilities are as below:

  • Work with Accounting where required.
  • Work with regional staff and CIT to maintain / improve invoice timeliness.
  • Work with Invoice and Payment Support Specialist to reduce past due.
  • Generate reports as required to monitor invoicing status and workload.
  • Work with regional contacts to troubleshoot invoice errors when needed.
  • Support invoice generation for multiple regions daily.
  • Support uploading of invoices to various client platforms when requested.
  • Work closely with local contacts to troubleshoot invoices disputes through Get Paid.
  • Monitor invoice accuracy and escalate issues to Manager – National Initiatives and Centralized Invoicing as required.
  • Manage credits following the work instruction for credit processing.
  • Other duties, as assigned.

You Are The Ideal Administrative Assistant, If You Have

  • Possess a College Diploma.
  • Excellent written and oral communication skills; Good command of English.
  • Knowledge of basic accounting principles and environmental laboratory project management.
  • Ability to speak French would be an asset
  • Ability to work independently as well as engage others, when required, in escalation of concerns to meet the client needs.
  • Computer skills, including good working knowledge of Microsoft Office software and LIMS.
