Our roots stretch back to 1911, when we were founded in Canada as an evangelism and Scripture distribution ministry led by a national membership of volunteers. Over the decades our ministry has broadened to inviting women and men of all vocations to share the gospel with innovative new Scripture resources alongside local church partners. In 2015, ShareWord Global was launched to help expand the work in more regions within Canada and around the world.

THE OPPORTUNITY
As Ministry Administrator, you will be working alongside ShareWord Global’s Ministry team. The ideal candidate for this position thrives within structured processes and managing detail. Location: Hybrid (Work from home 3 days + 2 days in office in Guelph, ON)
Reporting to: Director of Ministry
Key Responsibilities:
· Proactively review internal processes to identify opportunities for increased efficiency and risk management improvements.
· Draft impactful collateral, such as reports and updates on ministry efforts in Latin America and the Middle East, to support Marketing, Communications, and Development initiatives.
· Conduct quality control on impact stories from Latin America and the Middle East to ensure they effectively meet organizational needs.
· Develop short-term ministry tactic plans, as directed, for projects in Latin America and the Middle East.
· Collaborate with teams worldwide to clean church partner data from Joomla and prepare agreed-upon datasets for migration into Power BI.
· Ensure accurate and ongoing reporting and maintenance of church partner data post-migration.
· Work with the Latin America team to ensure accurate and ongoing reporting Spark Club data for migration into Power BI and post-migration maintenance.
· Collaborate with the IT team on data cleaning and proficiency improvements.
· Ensure accurate and timely reporting of ministry data and key performance indicators for Latin America and the Middle East.
· Liaise with the Manager of Ministry Coordinators as needed to meet deadlines and maintain quality standards, recognizing their role in managing workflow.
· Assist in drafting Memorandums of Understanding (MoUs) as requested.
· Maintain an accurate Latin America and Middle East Team Drive filing system, ensuring proper record-keeping and tracking of original contracts, deadlines, and signatures, as well as all necessary follow-up documentation (e.g., Memorandums of Understanding (MoUs) or contracts).
· Submit purchase order requests (via quotes) and invoices to Finance for timely remittance.
· Support end-to-end logistics for Latin America, including procurement, shipping, Scripture clearance, and expense submissions.
· Maintain and manage Raiser’s Edge for ministry department data, including GO Trip events, running reports, and reconciliations, while developing a strong working knowledge of database applications to ensure timely and accurate ministry reporting.
· Ensure accurate and up-to-date records in compliance with privacy regulations and laws (e.g., managing passports, police record checks, and health data in accordance with PIPEDA and CASL regulations).
· Support the ministry division by updating all tracking spreadsheets (e.g., GO Trips, Inventory Management, budgets).
· Assist in preparing materials, agendas, itineraries, and presentations for ministry team meetings, trips, and partner meetings.
· Facilitate cross-divisional and departmental communication, collaborating effectively across teams.
· Collaborate with administrative teams, the IT Manager, and the IT department to update international landing pages, GO Trip-related forms, and content.
· Support the Ministry Manager in collaborating with the Marketing and Communications teams to develop and monitor the execution of a social media strategy for Latin America.
· Review and analyze ministry data to identify strategic and operational efficiencies, gaps, decision-making insights, and growth opportunities.
· Research the EAN region and countries within that region that have been assigned, to support strategic decision-making
· Conduct research into new projects/ventures/ideas to help management determine the validity before pursuing them.
· Create visual presentations, dashboards, or summaries to support strategy communication to internal teams and partners
· Develop and manage tools for evaluating ministry effectiveness (e.g., surveys, scorecards).
· Document and track lessons learned for continuous improvement.
· Oversee the coordination of SWG website and SWG Network updates related to the ministry department, liaising with the IT department.
· Other related duties as assigned
Role Requirements:
· Possesses a deep appreciation for God’s Word and a passion to see the gospel be shared with the world
· 4 years’ experience or greater in administration and/or project management
· Able to multi-task and work in fast paced environment
· Experience working with/in churches and denominations
· Exceptional command of English, including grammar, punctuation, and spelling
· Team player, excellent consensus building skills, with a high degree of motivation and desire to collaborate with others to build and maintain relationships on a winning team
· Ability to work well independently as well as part of a collaborative, cross-departmental team
· Knowledge of project and event coordination and administration
· Thrive in supporting many projects at once, while ensuring excellence in all
Assets:
· Completed post-secondary education in a relevant field
· A working knowledge of all Microsoft Office and Apple products (Google Drive, MS Word and Excel)
· Experience with Blackbaud and Raisers Edge products
· Strong organizational and coordination skills with experience in managing and coordinating details.
· Experience working a non-for-profit, charitable organization, or church
