Job Summary

The College of Pharmacy includes undergraduate and graduate programs with a mission to enhance health and wellness through pharmacy education, research and community service. Reporting to the College Administrative Manager and working under the guidance of the Associate Director Student Affairs, and Graduate Program Coordinator, the Student Affairs Administrative Assistant provides administrative support for the Doctor of Pharmacy (PharmD); Master of Science, Pharmaceutical Sciences (MSc(PharSci); and Pharmacy Residency Programs from first contact to completion and associated support responsibilities.

Key Responsibilities

  • Provides support for the Doctor of Pharmacy (PharmD) Program, including but not limited to assessing applications for admissions or rejections, collecting application materials, providing administrative support for interviews, and monitoring progress of students through the program.
  • Provides support for the Master of Science (Pharmaceutical Sciences) and Pharmacy Residency Programs, including but not limited to collecting application materials, tracking applications and updating applicants, provide administrative support to Graduate Program Coordinator, and processing documentation.
  • Maintains knowledge of University, Faculty of Graduate Studies, Faculty of Health, College, and program policies, procedures, guidelines, processes, and deadlines.
  • Provides administrative assistance directly to the Associate Director Student Affairs, Coordinator, Student Affairs, Graduate Program Coordinator, positions as related to recruitment, admissions, progress monitoring, and graduation as required.
  • Acts as back up for the Administrative Reception and provide assistance with the Awards Committee and associated events such as Convocation Brunch and White Coat and Awards Ceremony.

Note

The successful applicant is required to initially work in-person on campus. After successful completion of the probationary period, they will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.

Required Qualifications

  • Business/office administration diploma with three to five years’ related experience (or equivalent combination of training and experience).
  • Must have demonstrated strong communication (verbal and written) and organizational skills.
  • Proficiency in MS Office (Word, Excel, Access, and PowerPoint) with a demonstrated ability with data management.

Assets

  • Knowledge of or experience in an academic setting.
  • Knowledge of or experience with planning, tracking, and processing admissions and monitoring progress of students.
