THE ROLE
Code, total, batch, enter, verify and reconcile transactions related to accounts payable and receivable, payroll, purchase orders, cheques, invoices, cheque requisitions, and bank statements in a ledger or computer system. Calculate, prepare, and issue documents or reports related to accounting, such as financial statements and other managerial information reports. Receive source accounting documents, such as merchandise requisitions (MR), retail price changes (RPC), NPF Invoices, purchase orders (PO) and supplier invoices, and verify them for policy compliance and enter them in accounting registers. Prepare Journal Voucher (JVs) adjustments and forward to the Accounting Manager for action; action JVs locally, as required. Maintain the Fixed Assets (FA) Distribution Account (DA) files and ensure pertinent documents are included such as handover certificates and verification records. Prepare registers such as Supplier Invoice Register, Disbursement Transaction Generation, Sales and Receipt Register and Cash and Transfer Register and other types of vouchers, as required. Assist units in the safeguarding, securing and controlling the handling of NPF cash and negotiable documents such as NSF cheques and cash receipts. Verify and assist in the preparation of financial statements and other management reports. Maintain signing authorities list in accordance with established policies and procedures. Complete cash reconciliation, as required. Assist units with clearances such as DA holders, outstanding receivables and standing advances. Assist units in ensuring bank deposits are completed, as required. Perform maintenance tasks on accounting system such as creating accounts receivable records, and creating and maintaining local financial reporting registers, job queues and spreadsheets. Review unit correspondence and entity minutes and initiate appropriate action. Distribute accounting policy and correspondence from the Senior Manager Accounting Services Reserves or the National Accounting Office to the entities/outlets. Perform clerical duties such as word processing, maintaining filing and record systems, faxing and photocopying. Respond to customer enquiries and provide directions to managers on accounting transaction in accordance with standard operating procedures (SOP) and policies. Assist in completing stocktaking sheets and preparing reports of overages and/or shortages. Comply with NPF policies, procedures, regulations, and applicable legislation. Ensure compliance with the Health & Safety Program, in conjunction with management, and may act as a Representative or member of a local NPF Committee. Perform other related duties as assigned by supervisor.
Qualifications Needed
College diploma or certificate in Business Administration, Finance, Accounting, Bookkeeping or a related field OR High school diploma AND some years of experience in a related field OR A demonstrated equivalent combination of education, training and/or experience. This includes but is not limited to demonstrated military education, training or experience
