Position Overview

The Administrative Coordinator plays a vital role in the day-to-day operations of the Merrithew Corporate Training Center (CTC) by providing administrative and customer service support for education programs, courses, and workshops. This position serves as a key point of contact for students, instructors, and internal teams, ensuring smooth coordination of registrations, payments, scheduling, and inquiries.

The ideal candidate is highly organized, detail-oriented, and proactive, with strong administrative, communication, and problem-solving skills. They must be able to manage multiple tasks efficiently in a fast-paced environment while maintaining a high level of accuracy and professionalism.

Major Responsibilities

Customer Service/Administrative Support:

  • Follow up with potential leads for education opportunities to ensure engagement and conversion.
  • Maintain up-to-date knowledge of programs, pricing, and course offerings.
  • Manage student files, records, and invoices, ensuring accuracy and confidentiality.
  • Handle email inquiries, ensuring timely and accurate communication.
  • Serve as the primary switchboard for reception and education-related calls, assisting clients with CTC inquiries. When necessary, schedule Zoom calls or transfer to CTC Admissions for further guidance.
  • Process course and workshop payments, ensuring updates are accurately reflected in CTC trackers.
  • Send completion letters for both courses and workshops in a timely manner.
  • Manage ordering of office and beverage supplies for the Y&E location, ensuring stock is maintained.
  • Oversee the ordering of course materials for CTC, ensuring timely procurement and accuracy.
  • Support the annual processing of student tuition forms, collaborating with relevant departments to streamline the process.
  • Assist with day-to-day operations in the studio as required.

Education Advisor

  • Assist with post-exam submissions by scanning exams, updating the tracker, and organizing files into appropriate folders.
  • Assess students' fitness backgrounds, interests, and goals to ensure alignment with program offerings.
  • Generate course/workshop registration invoices and CRM orders for course materials.
  • Coordinate and prepare welcome bags, ensuring all necessary materials (digital content access, invoices, and paperwork) are included.
  • Add CTC workshops and courses to our database and the Merrithew website, ensuring accurate course details and creating new tracker tabs for each course/workshop.
  • Assist with setting up courses and moving large equipment in the studio as necessary.

Skills And Qualifications

  • 2+ years of administrative or customer service experience in an education or training setting.
  • Post-secondary education in Business Administration, Education, or a related field.
  • Strong proficiency in Microsoft Office and database systems such as FileMaker Pro and CRM.
  • Ability to multi-task and respond to shifting priorities.
  • Strong analytical, organizational, and problem-solving skills.
  • Experience in event coordination, sales, or marketing is an asset.
  • Knowledge of the fitness or wellness industry is a plus.
