Reporting to the Manager of Health and Community Services, The Health Administrative Coordinator will provide administrate support to the Manager of Health, Supervisor of Health, Community Wellness Supervisor and other members of the Health and Family Services Teams.


The Health Services Administrative Coordinator plays a key role in the daily operations of TFN’s Health Department. This position provides high-level administrative, operational, and policy support, helping to maintain efficient workflows and ensure compliance with TFN legislation, funding agreements, and best practices.


A central function of this role is optimizing document management and communication systems using Microsoft 365 and SharePoint. This position also supports contract management, budgeting tasks, and departmental coordination to ensure seamless health service delivery.


Key Responsibilities


1. Administrative & Operational Support



  • Provide comprehensive administrative support to the Manager of Health and supervisory team.

  • Assist in developing, reviewing, and maintaining departmental policies, protocols, and procedures.

  • Maintain organized and accessible document control systems using Microsoft 365 and SharePoint.

  • Contribute to the creation and refinement of standard operating procedures (SOPs).

  • Track compliance requirements, deadlines, and reporting deliverables.


 


2. Workflow & Systems Management



  • Use SharePoint and Microsoft 365 tools to streamline internal communication and documentation.

  • Develop and manage automated workflows (e.g., for approvals, reporting, and KPI tracking).

  • Train and support health staff in using Microsoft Teams, SharePoint, and other digital tools.

  • Ensure digital platforms for policies and procedures are well-organized and user-friendly.


 


3. Financial & Contract Coordination



  • Support contract tracking and administration for health service providers and external consultants.

  • Compile and maintain data for funding applications, reports, and renewal submissions.

  • Monitor program budgets, invoice processing, and financial record-keeping.

  • Maintain documentation to support audits, compliance checks, and funding reviews.


 


 


4. Health Department Coordination



  • Act as a liaison between the Health Department and internal TFN administrative teams.

  • Coordinate departmental meetings: prepare agendas, take minutes, and track follow-up actions.

  • Support community health events, training sessions, and internal communications.

  • Monitor timelines for accreditation, reporting, and policy updates.


 


Decision-Making Authority



  • Responsible for managing administrative systems, documentation, and workflow improvements independently.

  • May make operational decisions related to document control, scheduling, and workflow priorities.

  • Strategic or financial decisions require consultation with the Manager of Health.


 


Qualifications



  • Diploma or degree in Health Administration, Business Administration, Public Health, or related field.

  • Minimum 2 years of administrative experience in a healthcare, Indigenous, or government organization.

  • Proficient in Microsoft 365 (Teams, SharePoint, Power Automate, Excel, Word, Outlook).

  • Experience developing and maintaining policies and procedures in a regulated setting.

  • Strong organizational and project management skills with attention to detail.

  • Understanding of Indigenous health systems, funding models, and community protocols is an asset.

  • Ability to manage confidential information with professionalism and integrity.

  • Strong written and verbal communication skills and the ability to support a multidisciplinary team.


 


Working Conditions



  • Office-based role with occasional travel to meetings or community events.

  • Standard working hours: Monday-Friday, 8:30 AM-4:30 PM. Occasional evening/weekend work may be required for events or deadlines.


 


Performance Indicators



  • Efficient operation of administrative systems and workflows.

  • Accurate and timely documentation and reporting.

  • Strong collaboration with Health Department leadership and staff.

  • Proactive tracking of compliance, contracts, and reporting deadlines.


 


Wages


Pay scale for this position is $27.43 - $32.57 per hour with excellent benefits including enrolment in the BC Municipal Pension Plan. Placement within the pay scale is based on a review of skills, experience & internal equity.
