The Edmonton Police Service requires four (4) self-motivated and energetic Records Management Clerks in the Digital Information Management Unit. The Digital Information Management Unit’s main responsibility is the Document Imaging Program for Edmonton Police Service. The unit is responsible for collecting, sorting, processing, distributing, retrieving and filing both paper and electronic operational and historical files. Staff utilize a number of police information systems to document and process files and prepare statistical reports. Staff also respond to general enquiries and requests for document copies, pack files into boxes for storage, and provide on-the-job training to less experienced staff. The responsibilities of this position include:
40 hrs per week, Monday – Friday, 8 hrs per day.
Salary Range:
21B, Salary Grade: 007, $23.787 - $29.534 (Hourly), $1,903.00 - $2,362.70 (Bi-Weekly), $49,667.26 - $61,666.99 (Annually).
The rates quoted are in accordance with a collective agreement between the Union and the City of Edmonton.
General:
HR Technician: CZ
- Review, sort, and prepare documents for digitization, including scanning, linking, and verifying records to ensure accurate digital conversion and workflow efficiency.
- General file maintenance.
- Data entry for tracking imaged documents.
- Conversion of paper documents to electronic images using Kodak imaging software, including batch capture, quality control and verification of documents to protect the integrity and authenticity of records.
- Use custom software to accurately upload, convert, and link both digitized and born-digital documents to the appropriate occurrences in the Records Management System (RMS), ensuring data integrity and compliance with established procedures.
- Maintain appropriate workflow to meet the Edmonton Police Service’s requirements.
- Manage multiple priorities and document-related requests, ensuring timely and accurate completion in accordance with service standards and operational deadlines.
- Perform a variety of administrative and support functions that contribute to the effectiveness of the EPS records management program, including data handling, document tracking, and quality assurance
- Performing other related duties as required.
- Completion of the twelfth (12th) school grade including business subjects related to word and information processing or completion of an appropriate certificate program from an approved business school/college, supplemented by training in basic microcomputer applications and a minimum of two (2) years’ diversified word and information processing experience.
- OR Completion of the twelfth (12th) school grade including business subjects related to data entry or completion of an appropriate certificate program from an approved business school/college and a minimum of two (2) years’ diversified data entry experience including general office procedures.
- Able to meet the physical demands of the position, including lifting and moving boxes weighing up to twenty (20) kilograms.
- Able to process a high volume of work efficiently and accurately under the pressure of a fast-paced work environment.
- Proven verbal and written communication skills and interpersonal skills.
- Able to work independently, to exercise sound judgment, and to maintain effective working relationships.
- Strong computer and MS Office skills.
- Scanning/imaging and micrographics experience an asset.
- Experience in a police or records environment would be considered an asset.
- Knowledge of police applications including CAD, CPIC, JOIN, and Niche would be considered an asset.
- Applicants may be required to undergo a knowledge or skills assessment test.
