What to Expect:

The B2C OMNI Executive Assistant is responsible to support the B2C Sales Team on all aspects with focus on the Omni-channel leadership team (VP's direct reports). Plan and coordinate cross-functional strategic initiatives and help foster the core Omni-channel business operations by elevating ongoing level of engagement, execute alternative solutions and manage the evolving programs and priorities.

A day in the life of an B2C Omni-channel Executive Assistant:

The primary purpose of this role is to provide executive-level administrative and coordination support to the VP and their teams:

  • Serve as a trusted advisor and strategic partner to support the VP in business and relationship management, assisting with planning, coaching, project management, and communication.
  • Provide daily administrative support, including organizing and scheduling meetings.
  • Act as a liaison for effective communication of key executive information across Omni-channel teams and departments.
  • Participate in high-level management meetings, offering insights and following up on action items.
  • Coordinate travel logistics and serve as the first contact for orientation needs.
  • Consult with leadership team members and provide feedback.
  • Streamline internal processes while focusing on strategic goals and providing analysis and recommendations.

Support the Omni-channel leadership team, which includes five Line Managers:

  • Collaborate with Line Managers to enhance efficiency and effectiveness.
  • Coordinate weekly Omni-channel operations meetings, including agenda and minutes.
  • Coach team members and share best practices.
  • Prepare weekly newsletters and organize logistics for workshops and events.
  • Lead various administrative activities, exercising initiative and handling confidential materials.

Omni-Channel Pillar Support for the five teams (Trade, e-comm, Retail, Digital Business Development and Commercial Forecasting):

  • Participate in the Nesté Continuous Excellence Committee, focusing on OMP development, efficiency savings, and project management.
  • Drive Nespresso’s organizational project management processes across departments.
  • Elevate Trade team processes and best practices across Omni-channel teams, emphasizing strategic goals.

Role Requirements

    • Minimum of 7 years of experience in a senior administrative assistant / executive assistant role in a fast-paced business environment
    • Bilingualism in English and French language skills are a requirement, as this position requires collaboration with stakeholders across the Canadian market (and/or globally).
    • Excellent knowledge of MS Office applications
    • Highly organized and detail-oriented; manage multiple and complex work streams
    • Highly proactive, action-oriented and self-starter
    • Polished, professional and a skilled communicator, with strong written and verbal communication skills / strong interpersonal skills
