Located in Toronto, the Art Gallery of Ontario is one of the largest art museums in North America, attracting approximately one million visitors annually. The AGO Collection of more than 120,000 works of art ranges from cutting-edge contemporary art to significant works by Indigenous and Canadian artists and European masterpieces.

We are currently seeking an Administrative Assistant to join our Facility Services team. Under the direction of the Director, Facility, the incumbent will provide general administrative support to Facility Services and basic support to the AV Services. They will maintain some equipment and departmental stock and building wide office stockroom.

The rate of pay for this position is $27.38 - $34.20 per hour.

What is this position responsible for?

  • Maintains departmental records and accounts for labour, operating funds and capital projects. Prepares, tracks, reconciles monthly statements and reports. Ensures confidentiality, accuracy and timely updates.
  • Generates requests for purchase and internal invoices. Tracks and records progress to completion.
  • Monitors and maintains departmental equipment including photocopiers, water coolers, and postage meter. Performs minor maintenance and requests service. Processes outgoing mail. Assists with internal mail distribution as needed
  • Maintains and operates the internal office stockroom. Monitors stock levels for office stockroom and departmental supplies and initiates RFP’s as required. Obtains quotes for supplies as directed.

  • Working knowledge of administrative office practices and procedures
  • Working knowledge of postal equipment
  • Demonstrated knowledge of building maintenance and cleaning products
  • Well-developed computer skills including excel
  • Well-developed written and verbal communication skills
  • Excellent organizational skills
