Positionoverview

Join our dynamic and highly engaged team as a Records Management Intern. This role will assist in managing various risks related to regulation, data protection, and records and information management. The Records Management Intern will play a key part in maintaining RioCan’s compliance with records retention requirements and demonstrating a strong commitment to Records Management and data governance best practices.

Responsibilities

  • Support Compliance: Promote adherence to RioCan policies and processes concerning data protection and records retention and disposition
  • Team Collaboration: Assist the Records Management team by coordinating activities across the Trust related to records and information retention
  • Departmental Support: Help departments comply with specific data retention requirements, including large-scale metadata processing.
  • Data Classification: Engage in data classification activities to ensure proper organization and protection
  • Training and Education: Prepare training materials and conduct training sessions to educate staff on records management best practices.
  • System Enhancements: Participate in testing and rolling out system enhancements to improve records management processes
  • Physical Records Management: Liaise with department staff on the retrieval and disposition of physical records
  • Ad-hoc Duties: Perform additional tasks as required to support the team

Qualifications

  • Degree or Diploma in library and information sciences, or equivalent work experience
  • Proven organizational skills, dedication to teamwork, time-management, and attention to detail
  • Excellent communication skills (both oral and written)
  • Ability to manage multiple tasks and changing priorities
  • Knowledge and understanding of client service
  • Ability to work in a busy, deadline driven environment focused on accuracy and confidentiality
  • Problem solving skills and use of sound judgment
  • Willingness to take on new tasks and embrace change
  • Experience with SharePoint in a compliance or data function, with experience in records and information management, records classification, data mapping, and other data protection activities will be considered an asset
