Overview

This position is located in Hay River, NT.

Reporting to the Manager, IT Applications & Support located in the Hay River Head Office, the Records Management Clerk is responsible for access to all NTPC records, their archiving and disposition. In addition to supporting all NTPC/NTE Divisions in retrieving records, the position supports those Divisions with hands on training and documentation in support of identification of records and filing them in the corporate records historian.

A challenge for this position is keeping abreast of all types of records generated across NTPC and NTE, especially related to longer lived Capital Projects. Misfiled or un-filed information can affect NTPC/NTE’s ability to perform safely, plan and execute Operations and Maintenance functions, and manage the Capital Plan. Government Legislation and Regulation governs public access, archiving and destruction of records. NTPC Records Retention schedule and Policy A2 govern filing systems, retention, and storage of records. This position follows those Authorities. Any interpretation of Authorities is referred to the Director, Information Technology. The position works within the general direction of the Manager, IT Applications & Support but is expected to set their own work schedule and priorities.

Responsibilities

  • Files, maintains and archives NTPC/NTE records in accordance with NTPC access, privacy, and archival requirements.
  • Monitors changes to Government Legislation and Regulation to ensure that NTPC’s Records Retention schedule and Policy A2 are in alignment.
  • Manages collection, storage and disposition of all NTPC records.
  • Supports NTPC’s ATIPP coordinator in satisfying collection of assets for an investigation.
  • Supports all Divisions in training on how to use the corporate records historian & Leads all records disposition activities.
  • Ensures Procedures are in place for the long-term storage of files as per Legislative/Regulatory requirements.

Qualifications

  • High school diploma or GED-equivalent is required, with a minimum of two (2) years' administrative experience including file or records management.
  • Post-secondary diploma in the fields of Records Management, Library Sciences, or Business Administration is considered an asset.
  • Previous experience working in the Electrical utility industry and familiarity with Electrical Utility terminology considered an asset.
  • Ability to interpret Legislative and Policy requirements as they relate to records management.
  • Must be proficient in the use of Microsoft Office suite of tools to produce written documents, send and receive electronic mail and conduct internet research.
  • Strong customer-service orientation.
  • Excellent written and oral communication skills, with excellent attention to detail.
  • Excellent listening and interpersonal skills.
  • Class 5 driver's licesne (or equivalent).
  • Must undergo a successful criminal records check.

Salary for this position ranges from $45.15 - $54.86 hr. plus a location allowance of approximately $3,823 per annum. This is a bargaining unit position. We offer a comprehensive benefits package which includes health and dental benefits, long-term disability, life insurance, paid sick days and a defined benefits pension plan. This position requires the successful candidate reside in Hay River, NT. Relocation assistance may be provided.
